Administrative Assistant - Reclamation/Remediation
Our Reclamation / Remediation team is a dynamic group within the Health, Safety and Environment Business Unit. We are seeking an highly professional Administrative Assistant. In this role, you will provide administrative support to the manager and a team of professionals. This position will appeal to those individuals with exceptional attention to detail, who possess a high degree of initiative and motivation, and who thrive in a fast paced energetic team.
Key responsibilities include but are not limited to:
- Preparing correspondence, presentations, commercial filing, faxing, courier, mail distribution and organizing meetings
- Reconciling of Selling, General & Administration (SG&A) expenditures and Authorization for Expenditure (AFE) accounts, coordinating travel arrangements, scheduling appointments and maintaining files
- Assisting in document management, such as creating environment files, archiving, and distributing to the appropriate stakeholders
- Word processing of contract documents, decision summaries, reports, etc.
- Liaising with all levels of management to proactively deal with changing priorities and inquiries
- Handling all general office administration tasks such as organizing meetings independently
- Developing appropriate graphs, spreadsheets or presentation materials to assist in effective reporting within the department
- Proof reading technical reports and memos to ensure document accuracy prior to internal or external distribution
Qualifications
Our ideal candidate will have the following qualifications:
- Administrative diploma from an accredited institution, high school diploma, or equivalent training and business experience
- Three years' progressive administrative experience, preferably in the petroleum industry
- Reclamation/Remediation experience combined with an understanding of legal land descriptions are considered assets
- Proficiency in Microsoft Word, Excel, Powerpoint and SAP (including Manager's Desktop) is required
- Strong organization skills, with the ability to set priorities, follow-up and meet deadlines
- Ability to communicate with all levels of the company and external contacts
- Excellent proof reading and business writing skills
- Ability to work independently in a fast-paced, varied and diverse environment with changing priorities
- A high degree of initiative and self-motivation.
- Familiarity with common petroleum industry databases, such as SiteView, CS Explorer, and SAP
