Administrative Assistant (Field)
Job description
We have big expansion plans for our Alberta operations. Along with big plans, comes big opportunity. You will play a crucial role in achieving our goal of becoming a leading producer in the Alberta oilsands.
 
ACTIVITIES
  • Provide administration support to field supervisors.
  • Liaison between Human Resources and the field for employee payroll and benefits.
  • Liaison between Accounts Payable and the field to ensure purchase orders are completed and invoices are paid.
  • Organize weekly chartered flights and book commercial flights.
  • Provide computer support and training to field staff.
  • Work with camp staff in assigning employees rooms, booking rooms and providing a record of camp occupancy.
  • Ensures camp staff is well informed of extra visitors for meals.
  • Sets up meeting rooms and ensures all personnel is notified of upcoming meetings and workshops.
  • Writes minutes @ Safety meetings, production meetings and HRRC meetings.
  • Monitor and record EUB Waste Manifests.
  • Duties of the Logger under the Emergency Response Plan.
  • Security gate controller day shift.
  • Controls Inventory of Office Supplies .
  • Liaison with janitorial staff of Office facility.
  • Controls PPE Inventory for employees and visitors.
  • Orders and stocks promotional items and incentives for employees and visitors.
  • Organises social events for field staff.
  • Responsible for all mail & interoffice mail.
  • Ensures all paperwork for Employee management & schedule are kept up to date.
  • Field Liaison between Community Development and Joslyn
  • Develop promotional material and hand outs for the SAGD project
  • Get involved in local shows & Conferences related to the Oil & Gas Sector
ACCOUNTABILITIES
  • Represent the company well in multi cultural community relationships.
  • Coordinate all office activities to ensure the office is operated in an organized manner.
 Required skills
  • Education :
    • High school diploma plus 5 years experience in an office environment.
  • Experience :
    • Knowledge of thermal heavy oil, oil sands or primary heavy oil experience is an asset.
  • Skills :
    • Strong communication, organizational, and computer skills are necessary,
    • Clean driver’s license.
